Raising a GST-compliant invoice is a solved problem in India. Swipe does it free and claims 25 lakh businesses. Every tool here treats tax as an output problem: produce a report, hand it over, done. That works if you have an accountant on the other side of the handover. Most independents do not, they have a CA they message in July, and eleven months of silence either side of it.
Filing ready is not filed.
Zoho Books goes furthest of the four. It is a registered GST Suvidha Provider, so you can file GSTR-1 and GSTR-3B from inside the software. That is genuinely useful and it is still you doing the filing, deciding what goes in which box, and answering for it if a notice arrives. Refrens generates the same returns as reports and offers filing only through a custom-quoted plan built on top of its ₹39,000-a-year Operations tier. Swipe produces reports. Why so many independents are still on Excel
Excel is the most-used invoicing tool in India and it is not close. It costs nothing, it does exactly what you tell it, and nobody has to learn a new product. For your first few clients it is genuinely the right answer.
It stops working at a predictable point usually the first year you cross the GST registration threshold, or the first time a client deducts TDS and you cannot tell whether it reached your 26AS. At that point the spreadsheet is not wrong, it is just silent. It will not tell you a return is due, that you have under-paid advance tax, or that an invoice from March never got paid.
Every tool on this list is an upgrade on that silence. Only one of them also answers back.
Which one should you actually use?
You are billing two or three clients and just started. Swipe or Zoho Books' free plan. Both are free, both are good, neither will cost you anything to leave.
You sell products, hold stock, or need e-way bills and POS. Refrens or Swipe. Variabl does not do inventory and is not trying to.
You have a bookkeeper or in-house accountant already. Zoho Books. It is proper double-entry accounting and your accountant will know it.
You are an independent, need tax compliances and are GST-registered or about to be, with no finance team. This is the case every other tool on the list handles by handing you a report. Variabl handles it by filing the return.
